Job Description / Duties

The Role:

The Senior Administrative Assistant is responsible for performing a wide array of administrative duties in support of the various functions within the CACP national office: executive support, office manager, administrative support to the events, and communications.

This role is ideal for an energetic candidate to provide professional senior administrative support to the Chief Operating Officer and general administrative support to the Management Team to help ensure operational efficiency. All members of the National Office Staff work as a team in partnership to deliver national member services and to ensure daily office functions are fulfilled.

Your duties and responsibilities:

Provide executive support to the Chief Operating Officer by managing their calendar, travel, accommodation, and expense claims.

Liaise with executive officials and filter communications.

Prepare and administer meetings, including scheduling, tracking attendance, preparing documents, taking notes, and managing logistics.

Process manual payments and prepare bank deposits.

Handle all administrative duties related to the Order of Merit of the Police Forces, including processing nominations, conducting screenings, and distributing materials.

Monitor and respond to inquiries received through general CACP email accounts.

Respond to calls and monitor the general office voicemail.
Manage incoming and outgoing mail, courier packages, and greet office guests.

Process applications, verify payments, update member profiles, and produce membership lists.

Solicit new memberships and distribute new member and Life Member packages.

Draft messages, produce spreadsheets, format and proofread
documents, and manage contact lists.

Maintain and retrieve records and reports in the organization’s document management system (SharePoint).

Order and maintain office supplies; ensure office equipment is properly maintained.

Qualifications / Required Skills

What you bring to the role:

• Post secondary education in Office Administration or an equivalent combination of education/experience in progressively senior administrative assistantroles;
• Ability to communicate proactively and clearly in person, over the phone, and in writing in English and French;
• Minimum 5+ years of administration experience;
• Advanced proficiency with the Microsoft Office Suite, particularly Word, Excel, Outlook, and PowerPoint. Experience using SharePoint would be considered an asset;
• Demonstrated proficiency and knowledge of general administrative and clerical processes and procedures (such as word processing, invoicing, data input, formatting, electronic and hard copy filing, travel arrangements, etc.);
• Proven ability to work effectively in a team and apply strong initiative and personal judgment to solving problems with minimal supervision;
• Demonstrated relationship management and interpersonal skills, including tact and diplomacy, the ability to maintain confidentiality and the ability to build trust with a wide range of people;
• Takes responsibility and accountability for tasks, while seeking advice and assistance when necessary;
• Professionalism and discretion in all interactions;
• Ability to work in a fast paced environment;
• Ability to work effectively under time constraints and meet deadlines;
• Must be able to work full time hours onsite at our office located at 300 Terry Fox Drive, Kanata, Ontario.
